What “On the Day” Coordination Actually Covers
You’ve done the hard part. You found the venue, booked the suppliers, built the vision. So why do so many couples who plan their own wedding still book a coordinator for the final stretch?
Because planning a wedding and running one are two different jobs — and you can’t do the second one while you’re getting married.
On-the-day coordination (sometimes called day-of coordination, though the real work starts well before the day) is for couples who’ve planned it themselves and want to actually be present for it. Here’s what it covers when you work with us.
In the weeks before. We’re not there from the beginning, so the lead-up is about catching everything you’ve built and turning it into a plan that runs without you. We meet to go through the detail, pull your run sheet, supplier contacts, seating and logistics into one master document, and email it to every supplier so everyone arrives knowing where to be and when. We chase the ones who haven’t confirmed. And from a point you choose, we become the single contact, so the venue and suppliers call us, not you.
On the day. We arrive early and run the timeline so you don’t have to think about it. We oversee set-up, greet and direct suppliers, manage the flow from ceremony to reception, and quietly solve the small problems that always come up — the ones you’d otherwise be pulled out of your own wedding to handle. If something runs late or a supplier goes missing, that’s ours to fix, not yours.
What it isn’t. Coordination isn’t planning. We’re not sourcing your suppliers or designing your day from scratch — you’ve done that. And depending on the package, it isn’t full styling labour or pack-down either, though we’ll always be upfront about what’s included and what’s an add-on.
Who it’s for: organised couples, couples planning a venue that doesn’t supply its own coordinator, and anyone whose family would otherwise spend the day setting up chairs instead of enjoying it. If your mum is on the styling roster and your best mate is “in charge of the timeline,” coordination is the thing that hands them back their day too.
We offer it across a few tiers depending on how much coverage you want — from a single planning meeting and a short window on the day, through to multiple meetings, a venue walkthrough and rehearsal coordination. The right one depends on your venue and how complex the day is.
